WhatsApp Chatbot for Business

One AI agent that answers on WhatsApp, your website and the phone, grounded in your own business data.

WhatsApp is where most of your customers already are, and a WhatsApp chatbot for business is now the fastest way to answer them. An agent replies in seconds, works at night and at weekends, and hands over to a human when the request needs judgement. This page explains what it really costs, how the API works, and what a small business can realistically set up in a single afternoon.

What is a WhatsApp chatbot for business?

A WhatsApp chatbot for business is a program that answers customer messages on WhatsApp without a person writing each reply. Modern versions are AI agents rather than fixed scripts: they read the message, look up real information in your catalogue or knowledge base, and reply in the customer's own language. They differ from a simple auto-reply in 3 ways. They interpret intent instead of matching keywords, so "my parcel has not arrived" and "where is my order?" are understood as the same request. They retrieve data before answering rather than guessing. And they transfer to a human with the whole conversation attached, so nobody repeats themselves.

  • It interprets intent, not keywords. "My parcel has not arrived" and "where is my order?" are understood as one and the same request.
  • It is grounded in your data. Answers come from your catalogue, orders or knowledge base instead of being invented.
  • It hands over cleanly. Escalation to a human carries the transcript and the customer context with it.

How much does a WhatsApp chatbot for business cost?

A WhatsApp chatbot for business costs 3 separate things: the software subscription, Meta's per-conversation fee, and usually a one-off setup cost. The software runs from about €49 per month for a single channel up to a few hundred euros for an omnichannel agent with voice and CRM. Meta charges on top, per conversation, at a rate that depends on the customer's country and on how your chatbot is categorised. For a small business, €50 to €150 per month all-in is realistic. Be careful with "unlimited" offers: the Meta conversation fee sits outside your subscription and is where most surprises come from.

  • The software subscription. From about €49 per month for a single channel, up to a few hundred euros for omnichannel with voice and CRM.
  • The Meta conversation fee. Charged per conversation on top of the plan, set by Meta and varying by country and category.
  • A realistic small-business budget. €50 to €150 per month all-in, before any setup work.
  • The "unlimited" trap. Meta’s per-conversation fee is not included in most subscriptions and is billed separately.

How do I install a WhatsApp chatbot for business?

Installing a WhatsApp chatbot for business takes 4 steps. First, connect a phone number to the WhatsApp Business Platform through a Meta Business account; the number must not be active on the consumer app. Second, give the agent what it needs: a knowledge base, your catalogue, and explicit rules for escalating. Third, publish the message templates Meta requires for any outbound message, then test on a real number. Fourth, connect your tools, usually a CRM or an order system, so the agent can take action and not only reply. With a no-code platform, a working agent can be live the same afternoon.

  • 1. Connect the number. Register a number on the WhatsApp Business Platform through a Meta Business account.
  • 2. Give the agent context. Add your knowledge base, your catalogue and the rules for escalating to a human.
  • 3. Publish templates and test. Submit the templates Meta requires for outbound messages, then test on a live number.
  • 4. Connect your tools. Plug in the CRM or order system so the agent can act, not just reply.

“Organisations should not deploy conversational systems that cannot identify themselves, nor ones that cannot transfer a conversation to a human being.”

WhatsApp chatbot pricing: what you actually pay

Cost lineTypical amount
Single-channel software planFrom about €49 / month
Omnichannel plan with voice and CRMA few hundred euros / month
Meta conversation feesPer conversation, billed on top of the plan
Typical small-business total€50 to €150 / month, all-in
Unlimited messagesRarely real: Meta’s per-conversation fee still applies

Free WhatsApp chatbot options, and what they really cost

A free tier is normal, but it is rarely free in the sense that matters. Meta charges a fee per conversation on the WhatsApp side, and that fee is not waived by any vendor. The practical question is not whether the software is free, but how many conversations you actually have per month. Below roughly fifty conversations, a free plan plus the Meta fee is usually the cheapest option. Above that, a paid plan becomes cheaper per conversation and unlocks proper integrations, escalation and reporting.

  • Do not use it to make automated decisions with legal or health consequences. Route those to a person.
  • State clearly that the customer is talking to an AI, in the first message and in your terms.
  • Collect only the personal data you need, and record it in your register of processing activities.
  • A customer must be able to reach a human on request, without arguing first.
  • Get written consent before adding anyone to a broadcast or campaign list.

WhatsApp chatbot API: the five integration steps

  1. 11. Register on the WhatsApp Business PlatformA Meta Business account and a dedicated phone number
  2. 22. Create a message templateMeta reviews every template used for outbound messages
  3. 33. Get the webhookInbound messages and delivery receipts are pushed to your endpoint
  4. 44. Call the Cloud APISend replies from your own backend or agent
  5. 55. Add groundingExpose catalogue, order and knowledge data as tools the agent can call

For small businesses: a realistic one-afternoon setup

  • Start with the questions you already answer every dayMost small firms can cover 70% of volume with 15 well-written answers
  • One number, one agentDo not over-engineer: a single WhatsApp line beats an unfinished omnichannel rollout
  • Measure time saved, not messages sentTrack minutes saved and after-hours coverage rather than message volume
  • Keep a human on callA named escalation path matters more to customers than a perfect bot

Integrations that make the agent genuinely useful

Frequently asked questions

Is there a free WhatsApp chatbot for business?
A free trial is common, and a free tier usually exists, but Meta charges a per-conversation fee on the WhatsApp side that no vendor can waive. Treat "free" as free software for a limited number of conversations, and budget the conversation fee separately.
Do I need a new phone number?
In most cases yes. The WhatsApp Business Platform wants a dedicated number, because moving an existing consumer number means giving up your chats and two-step verification. Some providers offer a hosted number instead, which avoids that migration.
How long does it take to go live?
A basic FAQ agent on a single WhatsApp number can be live in an afternoon using a no-code platform. Connecting a CRM, an order system or a voice channel extends that to days or weeks, mostly depending on the quality of your existing data.
Can a chatbot replace my support team?
It usually replaces the repetitive share of the workload, not the team. Teams typically see the majority of routine questions resolved automatically while escalation keeps the value of the human conversations. Plan the handover deliberately rather than treating automation as a headcount decision.
Is customer data used to train AI models?
That is a contractual question, and you should have it answered in writing. Ask each provider whether your messages are used for training by default, whether you can opt out, and where data is stored, including whether servers sit inside the European Union.
